Get ERPNext Live on Your Real Processes, Not a Demo Setup

Most ERP rollouts stall because the system was configured to a template instead of the way the business actually runs. We map your processes first, configure ERPNext around them, move your data, train your people, and stay with you through go-live.

50+ ERP and software projects. Zero failed projects since 2021.

Why It Matters

An ERP goes live when people use it, not when it is installed

The software is the easy part. Getting your data in, your processes mapped and your team confident is what decides whether the rollout holds.

Configured Around You

Your processes decide the setup, not a standard template

We start by sitting with each department and writing down how work actually moves: who raises what, who approves it, and where it gets stuck today. ERPNext is then configured to match, so people recognise their own process on day one.

  • Every core process mapped as it really runs.
  • Naming series, approvals and permissions set to your rules.
  • Configuration first, custom code only where there is no other route.

Data You Can Trust

Opening balances that tie back to your old system

A rollout fails fast if the first stock report or trial balance does not match. We clean and migrate masters, load opening balances and open documents, then reconcile every batch against your existing records before anyone signs off.

  • Masters cleaned and de-duplicated before loading.
  • Opening balances reconciled line by line.
  • A parallel run so you can compare both systems.

How It Works

Five phases from first call to a supported go-live

1
Discovery
We map your processes, systems and reporting needs, and agree the phase-one scope in writing.
2
Configuration
We set up modules, masters, approvals, permissions and print formats to match those processes.
3
Migration
We clean and load your masters, opening balances and open documents, then reconcile them.
4
Training and UAT
Your team runs its own transactions in a test instance until every department signs off.
5
Go-live
We cut over, stay on hand through the first close, and hand over documentation.

Why Us

Why teams choose TCB Infotech to implement ERPNext

1
We run the whole rollout
Discovery, configuration, migration, training and go-live come from one team, not four vendors.

Configuration before code
We exhaust the standard options first, so your setup survives ERPNext upgrades.
3
Fixed scope and dates
Phase one is agreed in writing, with a price and a date, before anyone starts building.
4

FAQ

ERPNext implementation questions

How long does an ERPNext implementation take?
A focused rollout across finance, inventory and sales usually runs 10 to 16 weeks. A single-department scope can go live sooner, and a multi-company or multi-plant rollout takes longer. We agree the timeline in discovery, before any build starts.
Which ERPNext modules do you set up?
Accounts, Stock, Buying, Selling, Manufacturing, Projects, HR and Payroll, Assets, Quality and CRM. We configure only what you will actually use in phase one and add the rest later.
Will our existing data move into ERPNext?
Yes. We migrate masters such as customers, suppliers, items and the chart of accounts, plus opening balances and open transactions. Every batch is reconciled against your current system before we sign it off.
Do you host ERPNext or do we?
Either works. We deploy on your cloud account, on your own servers, or on hosting we manage. You keep ownership of the instance and the data in all three cases.
What happens if ERPNext does not cover one of our processes?
We first look for a configuration route, because configuration survives upgrades. If there is genuinely no standard option, we scope a custom app or script separately so you can decide whether it belongs in phase one.
What support do we get after go-live?
Every implementation includes a stabilisation period where we sit with your team, fix issues and tune the setup as real transactions flow through. After that you can move to an annual support contract or run it in-house.

ERPNext Implementation Features

What Is Inside an ERPNext Implementation

The rollout is a working project on your own data, not a software install. Here is what we map, what we configure, what we move across, and what your team can do by the end of it.

Core Features

From your current process to a system people use daily

Discovery and Configuration

We build the setup around how your business already works

We sit with each department, record how documents move and who approves what, then configure ERPNext to match. Naming series, tax templates, approval limits, workflows and role permissions all come from that map rather than a default install.

  • Core processes documented department by department.
  • Masters, workflows and permissions set to your rules.
  • Configuration first, so upgrades stay simple.

Migration and Reconciliation

Your opening numbers tie back to your old system

We clean and de-duplicate masters before loading them, bring across opening balances and open documents, then reconcile each batch against your existing records. Nothing is signed off until the stock position and trial balance match.

  • Masters cleaned before they enter the new system.
  • Opening balances reconciled line by line.
  • A parallel run so you can compare both systems.

Training and Go-Live

Every department can run a full cycle before you switch

Training is hands-on and role by role, using your own items, customers and accounts. Each team runs its real transactions in a test instance and signs off on acceptance before we cut over, and we stay on site through the first close.

  • Role-based sessions on your own data.
  • Acceptance testing signed off per department.
  • Stabilisation support through the first month-end.
